2025 CONFERENCE GUIDELINES

MEMBERSHIP AND REGISTRATION REQUIREMENTS
Proposals must be submitted by logging in to the Member Center and clicking on the Call for Conference tab, when available.
In order for panels, roundtables and individual proposals to be considered, your AAIS membership must be current and active.
- You will be required to renew your AAIS membership by January 31, 2025 for the coming year (Active members with membership paid through date 31 January 2025 will have the opportunity to renew their membership starting January 1, 2025).
- When you renew in 2025, your Association membership will be valid through December 31, 2025.
- Panels with participants who are not active members will not be accepted.
- All conference participants must register for the conference, and pay registration fees (different from membership dues).
PLEASE NOTE: the system will start to automatically send Dues Notification emails 30 days prior your membership expiration date. MAKE SURE to renew by following the link sent to you by the system with the 2025 invoice attached. That way you will be able to renew successfully for the whole year 2025.

Please note: Payments for both membership and conference registration fees will be processed online-only.
- In order to organize a panel or roundtable, you must be a member in good standing of the AAIS. Non-members may not organize sessions. Membership renewal is available here.
- If your membership is lapsed, you are still allowed to login into the Member Center. Once you logged in, click on My Dues Renewal, and follow instructions on the screen (after renewing your membership, you can submit a proposal).
- If you are new to AAIS, you can apply for membership here (then, you can submit a proposal).
AAIS 2025: Deadlines at a glance
- October 25, 2024: All abstract proposals due to panel and roundtable organizers with title, brief abstract (150-200 words), and short bio.
- December 1, 2024: All completed panels and roundtables due (please see below for proper formatting - to be submitted via the Member Center).
- January 2, 2025: Organizers will receive notification of panel acceptances.
- Active members with membership paid through date 31 January 2025 will have the opportunity to renew their membership starting January 1, 2025.
- New members or lapsed members, please apply for membership or renew your membership by January 31, 2025.
- February 1, 2025: Conference Registration opens
- You will not be able to register for the conference without an active membership, but you will be able to renew or join at the time of registration.
- February 21, 2025: Early Bird Conference Registration closes.
- March 5, 2025: All AAIS 2025 participants must have paid conference registration fees (n.b. different from membership fees).

In the Member Center, please submit the following information for each proposed panel or roundtable:
TITLE OF SESSION OR ROUNDTABLE (IN CAPS)
- Organizer: Name, Affiliation, email address;
- Chair (if different from Organizer): Name, Affiliation;
- Name, Affiliation, Title of presentation in quotation marks for each session participant;
- Name, Affiliation for each roundtable participant.
IMPORTANT INFORMATION:
- Panels and roundtables with fewer than three speakers or participants will not be accepted.
- In proposing panels and roundtables, please include no more than two individuals from any single institution.
- All participants in a panel or roundtable must be AAIS members by January 31, 2025. Sessions including non-members will not be included in the program.
- Caucus meetings could be scheduled during the conference or virtually outside of conference dates.
- Graduate students at the PhD level (not only ABD) are invited to participate. No supporting letter from the dissertation director will be required.
NB: A delegate may read no more than one paper, chair a panel, and participate in one roundtable.
